Hotel Housekeeping Operations: From Room Assignment to Hotel Acceptance

What the workflow is controlling
TouteGestion does not treat housekeeping as one 'clean' button. A room task carries an operational status, assignment, property/date context, cleaning type, priority, access status, checklist, evidence count, timing and inspection history. This gives the hotel and service company a shared record of what actually happened to the room.
1. The cleaner must be on an active shift
In My Tasks, a cleaner cannot start a room while not checked in, while on break or after checking out. The cleaner first records Shift start. Break start, Break end and Shift end are separate events, so room execution is tied to the working period rather than appearing as an unexplained status change.
2. Work from the assigned room list
My Tasks separates today's rooms into operational buckets such as Not started, In progress, Re-clean required, Ready to submit, Awaiting inspection and Blocked/access issue. Rooms can be grouped by floor, zone, priority or status. The cleaner opens the assigned room rather than creating an independent task.
3. Start cleaning only when the room is accessible
A room cannot be started from the cleaner workflow when its access state is blocked. Access conditions include guest inside, do not disturb, maintenance blocked, key unavailable and late checkout. Once the room is accessible and the cleaner is checked in, Start cleaning moves the task into the cleaning state and records the operational start.
4. Complete the room checklist and record exceptions
Each room task carries checklist items, including required items. While cleaning, the user can record a task note, access issue, maintenance problem, operational issue or lost-and-found item against the room. These are separate actions because a damaged fitting, guest-access problem or found property should not disappear inside a generic completion note.
5. Submit for inspection
TouteGestion blocks submission to Awaiting inspection until all required checklist items are complete. If the room has no photo evidence, the current UI warns the cleaner but allows an explicit confirmation to continue; it does not falsely claim that a photo is always mandatory. Submission sends the current checklist and cleaner note with the room status update.
6. Supervisor inspection uses its own checklist
Supervisor Board loads the room's supervisor-inspection checklist. Approval normally requires all required inspection items. If a required inspection item is not checked, the supervisor must provide an override reason before approval can be submitted.
7. A failed inspection becomes re-clean work
For rejection, the supervisor selects or enters a rejection reason and can add notes. The inspection request is sent with approved=false and assign_reclean_immediately=true. The room returns as Re-clean required, exposing the latest rejection reason and inspection information to the cleaner instead of starting a disconnected replacement task.
8. Hotel acceptance is a separate decision
After the upstream room workflow reaches the acceptance stage, the Acceptance screen presents pending rooms to authorised hotel-side users. Platform admins, hotel managers and receptionists can Accept room or Raise dispute and can record notes. The decision then moves into acceptance history with status, notes and decision time.
Worked example
Cleaner Ama starts her shift and sees Room 214 assigned as a departure clean. The guest is still inside, so the room is an access issue and cannot be started. When access becomes available, Ama starts cleaning, completes the required checklist and reports a damaged lamp through the maintenance action. She submits the room for inspection. The supervisor's inspection finds missing towels and rejects it with that reason; the task returns as Re-clean required. Ama starts the re-clean, corrects the issue and resubmits. After supervisor approval, the authorised hotel user can make the separate hotel acceptance decision.
