What retention controls are for
Retention controls help an organisation decide how governed records move through their lifecycle instead of leaving every file indefinitely in active working areas. TouteGestion separates retention management from ordinary document editing through the documents.retention.manage permission.
Assign a retention policy
An authorised user can attach a configured retention policy to a document or clear the assignment. The action resolves the selected policy and applies it through the retention service using the organisation and acting user context.
Archive a document
Archiving moves a governed record out of normal active use without immediately destroying it. The archive action requires retention-management permission and preserves the document lifecycle through the dedicated retention workflow.
Restore an archived record
If an archived record needs to return to active use, an authorised user can restore it. This is preferable to uploading a duplicate because the existing governed record, versions and history remain connected.
Purge is different from archive
Purge is the destructive lifecycle action and should be treated differently from archive. TouteGestion exposes it only through the retention-management boundary. Organisations should align purge decisions with their legal, regulatory and internal retention obligations.
Practical example
A completed project can have its final governed documents archived after operational work ends. If an audit later requires active review, the record can be restored. Purge should occur only when the organisation's applicable retention requirements allow destruction.
