School Timetable in TouteGestion: Periods, Teacher Assignments and Conflict Control
The timetable turns the school's academic structure into scheduled teaching. TouteGestion validates that the selected teacher is actually assigned to the class and subject, prevents overlapping teacher, class and room bookings, and separates draft scheduling from published timetable entries.
What the timetable controls
A timetable entry connects academic year, term, day, period, class, subject, teacher and optionally a room. Periods themselves carry name, start/end time, type and display order, so the grid is built from school-defined teaching and break periods rather than hard-coded lesson slots.
1. Configure periods
Administrators can create, update and delete timetable periods. Period types can represent lessons and non-teaching periods such as breaks or lunch. A Ghana-oriented starter period set is available when a school has no periods, but it is only a starter configuration and the school can maintain its own schedule.
2. Select the academic year and term
New entries carry both academic-year and term context. TouteGestion refuses new entries when the selected term is closed or archived; scheduling is limited to active or planned terms.
3. Schedule only a valid teacher assignment
Before inserting a lesson, TouteGestion checks teacher_assignments for the selected teacher, class and subject, requires the assignment to be active and accepts either the selected term or a term-neutral assignment. If no match exists, staff are told to assign the teacher first under Staff.
4. Prevent teacher, class and room collisions
Database uniqueness controls protect the schedule. If a teacher is already teaching another class in the same slot, a class already has another lesson, or a room is already booked, the UI returns a specific conflict message instead of accepting the collision.
5. Correct teacher or room without bypassing assignment rules
Updating an existing entry can change teacher and room, but the replacement teacher is revalidated against the entry's class, subject and term. Conflict constraints still apply to the update.
6. Keep draft scheduling separate from publication
Individual entries can be moved to published status, and administrators can publish all draft entries for a term or a selected class. Entries can also be archived. This allows timetable preparation to occur before the schedule is exposed as published operational data.
Worked example
Primary 6 Mathematics is scheduled Monday Period 2 in Room 12. TouteGestion first verifies that Mr Mensah has an active Mathematics assignment for Primary 6. If he is already scheduled elsewhere at that period, or Room 12 is occupied, the entry is rejected. Once the grid is reviewed, staff publish the term's drafts.
