Student Attendance in TouteGestion: Teacher Register and Completion Control

TouteGestion separates taking attendance from monitoring whether attendance has actually been completed. Class teachers mark the active students assigned to their classes; authorised administrators then see which registers are complete, partial, not started or have no roster for a selected date.

What Student Attendance measures

The live student attendance register records one of four statuses: present, absent, late or excused. Attendance is tied to a student, class and date and stores who marked it. This academic attendance is separate from staff attendance and boarding attendance, which use their own records.

1. Teacher chooses an assigned class

The Teacher Attendance page first loads classes where the signed-in staff member is the class teacher. If no class is assigned, the teacher sees a No classes assigned state rather than a school-wide register.

2. Load the active class roster

For the selected class, TouteGestion loads active class_memberships and the linked students. Only active roster members are presented for marking, and students are ordered by name with their student codes visible.

3. Choose the attendance date

The register defaults to the current date but allows the teacher to select another date. Existing attendance for that class/date is loaded so the register can be reviewed or corrected rather than blindly creating a second set of records.

4. Mark present, absent, late or excused

Each active student can be assigned one of the four implemented statuses. The UI defaults an unrecorded student's radio selection to present, so the teacher should review the entire roster before saving rather than assuming the default is evidence of attendance.

5. Save by student and date

On save, TouteGestion validates the status and upserts attendance_records using student_id,date as the conflict key. The saved row also contains class_id, marked_by and school_id. Re-saving a student's attendance for that date updates the record instead of creating a duplicate.

6. Administrators monitor completion rather than re-taking attendance

The administrative Student Attendance page is a completion/reporting view. It loads classes, active memberships and the selected day's attendance, then compares recorded students with the active roster. It is not the same screen as the teacher's marking register.

7. Understand Complete, Partial, Not started and No roster

A class is Complete when every active roster student has a recorded status, Partial when some are marked, Not started when the class has students but no records, and No roster when the class has no active students. Completion percentage is recorded count divided by roster size.

8. Use school-wide attendance totals carefully

The report shows students in school as Present plus Late. It separately totals Absent and Excused and shows marked/unmarked counts. This means Students in school is not the same metric as Total roster and should not be used as a substitute for register completion.

9. Filter the operational report

Administrators can select date, academic year and campus. Each class row shows class teacher, campus, roster size, marked, unmarked, present, absent, late, excused, completion percentage and completion state.

Worked example

Primary 4 has 30 active students. The teacher records 27 present, 1 late and 2 absent and saves. The administrative report shows 30 marked, 0 unmarked, 28 students in school for that class and Complete status. If only 25 students had been saved, the class would remain Partial with 5 unmarked even if all 25 saved records were present.
