Assessments and Results in TouteGestion: Marks, Weighting, Grades and Submission
TouteGestion separates the raw evidence a teacher records from the calculated term result the school ultimately uses. Teachers create assessments inside their assigned class, subject and active term, enter eligible students' marks, publish assessments and then submit calculated subject results. Weighting and grading rules turn those marks into comparable term percentages without overwriting the original marks.
What an assessment represents
An assessment is a specific piece of academic evidence for one class, subject and term: for example a quiz, project or examination. The live record carries an assessment type, title, optional instructions/date, maximum mark and weight percentage. It belongs to the teacher assignment rather than being an unrestricted school-wide score sheet.
1. Start from the teacher's actual assignment
When creating an assessment, TouteGestion checks that the selected teacher_assignment belongs to the signed-in teacher, that the selected term belongs to the assignment's academic year and that the term is active. A teacher therefore cannot create an assessment against an unrelated class/subject assignment through this workflow.
2. Configure maximum mark and weighting
Maximum mark must be greater than zero. Weight percentage must be between 0 and 100, but there is a second control: each assessment type has max_weight_percentage. TouteGestion totals assessments of the same type for that class, subject and term and refuses a new or reweighted assessment that would exceed the type's cap.
3. Enter marks only for eligible students
For a compulsory subject, eligible students come from active class memberships. For a non-compulsory subject, eligibility comes from subject_enrollments linked to the teacher assignment. Submitted student IDs outside that eligible set are ignored rather than becoming marks for students who do not take the subject.
4. Distinguish Entered, Absent and Exempt
A student's mark_status can be entered, absent or exempt. Entered marks must be numeric, non-negative and cannot exceed the assessment maximum. Absent and exempt records store no raw mark and may carry a teacher comment. A blank entered mark is not automatically converted into zero.
5. Save marks without duplicating the student's assessment record
Marks are upserted on assessment_id,student_id and retain the school, status, comment and entered_by user. Re-saving the same student's mark for the same assessment updates that assessment record rather than creating another mark row.
6. Publish the assessment to make it part of result calculation
Publishing changes the assessment status to published and records submitted_at. TouteGestion then recalculates the class/subject/term results. Draft assessments are excluded from the final-score engine, so creating or entering marks alone does not make those marks part of the calculated term result.
7. Understand the weighted calculation
For each published assessment with an entered mark, TouteGestion calculates raw_mark divided by maximum_mark, multiplied by that assessment's weight percentage. It adds those weighted contributions and divides by the total weight represented by the student's entered published marks, producing a percentage final score. If no usable published weighted marks exist, no final score is produced.
8. Apply the subject's grading scale
After calculating the percentage, TouteGestion checks the subject's grading_scale_id. It finds the configured grade whose minimum and maximum range contains the floored final score and stores that grade with the student term result. The grading scale is therefore configuration used by the calculation, not a label typed manually against every student.
9. Recalculate safely when academic evidence changes
Calculated results are stored in student_term_results. Recalculation increments calculation_version. If the calculated final score changes, an existing result is moved back to draft status. Changing the weight of an already published assessment also triggers recalculation, preventing a previously submitted-looking result from silently retaining a stale score.
10. Submit class/subject results after teacher review
The teacher Results workflow moves matching active students' student_term_results from draft to submitted for the selected subject and term. This is separate from publishing an assessment: assessment publication makes evidence calculable; result submission advances the calculated subject results after review.
11. Administrative recalculation is permission-controlled
The administrative Results action requires results.enter permission before recalculating a selected class and term. It recalculates subjects represented by published assessments for active class members, giving authorised staff a way to refresh the derived results from the underlying published evidence.
Worked example
A Mathematics teacher creates a Class Test worth 20% with maximum mark 40 and an Exam worth 60% with maximum mark 100, within the configured caps. A student scores 30/40 and 72/100. Once those assessments are published, TouteGestion converts each mark into its weighted contribution and normalises across the entered published weight to calculate the student's term percentage, then applies the Mathematics grading scale. If a published assessment weight is later corrected and the score changes, the result returns to draft for review before submission.
