How imprest management should work

Imprest is a controlled advance issued for an approved purpose. Good imprest management keeps the request, approval, payment, supporting evidence, retirement and any refund connected from beginning to end.

1. Start with a defined request

The requester should state the purpose, amount, responsible person, expected spending period and relevant organisational context before money is released. The request should remain identifiable throughout the workflow.

2. Approve before release

Approval should confirm that the expenditure is authorised and that the approver has the required authority. In organisations using segregation of duties, the requester should not approve and release the same advance.

3. Record the source of funds

The organisation should know which bank, cash or other approved funding source supplied the imprest. Where more than one source is required, each allocation should be visible rather than hidden behind one unexplained total.

4. Retire the imprest with evidence

Retirement should capture what was actually spent, supporting receipts or documents, amounts returned and any valid difference from the original request. Missing evidence should remain visible for follow-up instead of being silently treated as complete.

5. Reconcile the advance

The original amount should reconcile to accepted expenditure plus any money returned. An organisation should be able to see outstanding imprests by responsible person, age, status and amount.

6. Preserve the audit trail

A complete record should show who requested, approved, prepared, released and retired the imprest, together with dates, documents and accounting references. This becomes especially important where different finance teams control different stages.
