Why the responsibilities are separated

The application has distinct operational roles and views. Cleaner work is performed in My Tasks, supervisors control assignments and inspections from Supervisor Board, and hotel-side acceptance is handled in Acceptance. The workflow therefore separates doing the work, checking the work and acknowledging the service outcome.

Cleaner execution is attributable

The cleaner records shift events, works from assigned rooms, starts cleaning only when checked in and the room is accessible, completes required checklist items, records exceptions and submits the room for inspection. Timing fields such as assignment, cleaning start and cleaning completion are displayed in the workspace.

Supervisor Board controls workload and quality

Supervisor Board supports assign and reassign actions, including bulk assignment logic, and separates rooms that need action, await inspection, are unassigned, are carryover, are in progress or are completed references. A rejected room can be reassigned and remains visibly rejected until the re-clean workflow progresses.

Inspection has stronger controls than a simple approve button

Supervisor inspection uses a dedicated checklist. Approving with missing required inspection items requires an override reason. Rejecting requires a defined or custom rejection reason and immediately creates re-clean work. These controls make the quality handoff explainable later.

Operational exceptions have dedicated records

From the cleaner workflow, access problems, task issues, maintenance tickets and lost-and-found items are recorded through separate API-backed actions. Supervisor Board also surfaces issues, maintenance and escalations for review or resolution. The room therefore does not have to be falsely marked complete just to move an exception somewhere else.

Hotel acceptance is its own boundary

The Acceptance screen allows authorised hotel-side roles to review pending acceptance records and either Accept room or Raise dispute with notes. Hotel managers and receptionists are deliberately shown a reduced staff-information view there, while the decision history remains available.

What this means commercially

A cleaning company can demonstrate which room was assigned, when work started, whether it was blocked, whether the checklist was completed, why an inspection failed and whether the hotel accepted or disputed the result. The hotel gets a controlled quality and acceptance trail without needing to share the cleaner's account or rely on WhatsApp messages as the operating record.

Worked example

A service company is responsible for a hotel's departure rooms. Its supervisor assigns Room 305 to Cleaner Esi. Esi starts her shift, begins the accessible room, completes the required checklist and submits it. The supervisor reviews the inspection checklist and approves it. The hotel receptionist then sees the pending acceptance record and accepts the room. If the hotel instead raises a dispute, the acceptance decision is recorded separately, preserving the difference between service-company inspection and hotel acknowledgement.
