Trial Balance in TouteGestion: Review, Filter and Trace Ledger Balances
The trial balance in TouteGestion is a ledger control report, not a data-entry screen. It reads posted accounting activity for the selected reporting context and shows each account's opening balance, period debits, period credits and closing debit or credit position in the organisation's functional currency.
What the trial balance is for
A trial balance answers a basic control question: what balance does every general-ledger account carry for this reporting period, and do total closing debits equal total closing credits? It is normally reviewed before interpreting the income statement or balance sheet because it gives Finance the account-level bridge back to the ledger.
1. Open Reports → Trial balance and confirm the reporting context
TouteGestion resolves the fiscal-year/reporting context for the requested end date. If no custom start date is supplied, the report begins at the relevant fiscal-year start. The screen states the fiscal year and functional currency so the reviewer knows the accounting basis of the numbers being inspected.
2. Use filters to answer a specific accounting question
The implemented report can be filtered by account, accounting dimension, source product, journal type and transaction currency, as well as the reporting dates. This is useful when a total looks unusual: instead of exporting everything and rebuilding the analysis elsewhere, Finance can narrow the same posted-ledger population to the relevant department/fund/project dimension, originating TouteGestion product, journal type or currency.
3. Read opening, movement and closing columns separately
For each account TouteGestion shows the opening balance, debit movement during the selected period, credit movement during the period, and the resulting closing debit or closing credit. Opening balance explains what the account brought into the period; period debit and credit explain what changed; closing debit/credit shows the account's resulting side at the report end date.
4. The report uses posted activity
Draft or merely submitted manual journals do not become ledger activity. The trial balance therefore reflects posted accounting records rather than unfinished workflow. This is why a journal can be prepared and reviewed without changing the report until the controlled posting action is completed.
5. Drill from an account into General Ledger detail
Each account shown on the trial balance links to its ledger view while preserving the relevant date and reporting filters. When an account balance looks wrong, the correct procedure is to drill into the ledger and trace the underlying journals/source transactions. Do not 'fix' a report total directly; reports are outputs of the ledger.
6. Check the closing debit and credit totals
TouteGestion totals the closing debit and closing credit columns. When the difference is within the report tolerance, the screen confirms that closing debits and credits reconcile. If they differ by more than 0.01 in functional currency, the report explicitly flags the out-of-balance amount for investigation.
Worked example
Suppose Finance is reviewing August and Transport Expense is much higher than expected. Open the August trial balance and click the Transport Expense account. The ledger drill-down shows the posted entries behind the balance. If the organisation uses accounting dimensions, filter to the relevant department or project; if transactions originate from several TouteGestion products, filter by source product. The objective is to identify the posting that produced the balance, then correct the source or use a controlled adjustment/reversal where appropriate—not edit the trial balance.
What a balanced trial balance does not prove
Equal total debits and credits prove the double-entry population balances mathematically; they do not prove every transaction is economically correct. An expense posted to the wrong expense account can still leave the trial balance balanced. Review unusual balances, material movements and ledger detail before treating the report as evidence that the period is ready.
How this connects to financial reporting
The same governed ledger population feeds reports such as the income statement and balance sheet.
